The clinic employee who handles calls and messages, books patients, confirms appointments and greets people on arrival. Whether someone who got in touch actually reaches the doctor depends largely on this role.

The administrator’s role in clinic sales
Many private clinics treat the front desk as a secretarial job: answer, book, open a file. In reality it is the first point of sale. The patient has not met the doctor yet but is already deciding whether to trust the clinic, based on how they were spoken to on the phone or in a message.
Typical duties: answering incoming calls and messages, calling back missed calls, booking and rescheduling, confirming appointments, keeping the CRM up to date, welcoming patients and managing the waiting list. When one person carries all of this without clear rules, response speed is the first thing to slip.
How to assess the work
Look at results by stage rather than at how busy someone seems: the share of enquiries that become bookings, the share of bookings that become visits, the time to first reply and the number of missed calls with no callback. All of these are visible in the CRM, the phone system and the appointment book.
Common mistakes managers make:
- hiring for a pleasant voice, then giving no training and no script;
- not giving access to prices and doctors’ schedules, so the administrator cannot answer on the spot;
- combining face-to-face reception and the phone with no clear order of priorities;
- judging performance by impression rather than data.
What to do: set out responsibilities in the front-desk procedures, provide a script, agree the metrics and listen to calls regularly. An administrator with clear rules and regular feedback usually books more patients, without any extra advertising budget.
