Who it’s for

For private clinics where every receptionist answers in their own way and results depend on who is on shift. For dental, aesthetic medicine and plastic surgery clinics that get enquiries but can’t work out why fewer of those patients go on to pay than should.

The problem it solves

A patient messages in the evening and gets a reply the next day, after they’ve already booked elsewhere. Missed calls go unreturned because nobody knows whose job it is to call back. A patient leaves the consultation with a treatment plan and never hears from the clinic again. The rules live only in the senior receptionist’s head, and leave when they do.

Result

The clinic has a written front-desk SOP: what to say, when to say it and who owns each step. Receptionists are trained and work to the same rules, and new staff learn from a document rather than by word of mouth. Missed calls, unconfirmed appointments and patients sitting on an undecided treatment plan no longer slip through unnoticed: each situation has a procedure and an owner.

How the work runs

I’ve built consultation scripts and follow-up protocols for teams selling medical services, and since 2022 I have personally taken patients from enquiry to payment. The logic is the same here, adapted to a clinic front desk.

  1. Starting point. I begin with the front-desk audit: where patients drop off, how calls and messages are handled, what happens after the consultation. No audit yet? Then we start with the free express check.
  2. Draft standards. I write call and messaging scripts, reply templates for common questions (price, timing, doubts, ‘I’ll think about it’), and rules for booking with two time options, confirmations, no-shows and returning missed calls.
  3. Sign-off. We go through the document with the owner or medical director: wording, prices, what reception can promise and what goes to the doctor.
  4. Training. I take the receptionists through the standards and we rehearse difficult conversations in role-play until the phrasing sounds natural.
  5. Launch and fine-tuning. Early on I listen to calls and read chats, and fix whatever doesn’t work with real patients.
  6. The SOP. I hand over the final SOP — the document your front desk works to and trains new staff on.

  • One person responsible on your side — the owner, practice manager or senior receptionist.
  • Access to call recordings and patient chats, if you keep them.
  • Current prices, services and doctor schedules.
  • Time for receptionist training built into the rota.

What happens next

This work is part of implementation of front-desk standards, which costs €900 and also covers enquiry tracking and front-desk training. Questions and answers

Do we need the audit first?

Ideally, yes. The audit shows exactly where patients drop off, so the standards are written for those points rather than ‘just in case’. You can start with the free express check. If you already have data on calls and enquiries, we can start from that.

Won’t the receptionists end up sounding like robots?

No. A script is a framework: the steps that must happen and the wording for difficult moments. Within it, receptionists speak in their own words. In training we practise natural conversation, not reading from a sheet.

What if we don’t have a CRM?

The standards work with the tools you already have: phone, messaging apps, the appointment book. I’ll show you the minimum record-keeping you need to see missed calls and treatment plans still awaiting a decision. Choosing and setting up a CRM is a separate job; we can discuss it later.
